Our client is looking for a Contract Helpdesk Administrator to report the FM Coordinator Supervisor, the purpose of this role is to co-ordinate the requirements of the contract between business needs of the contract (client) and direct or indirect commissioned services. Using helpdesk system to process the flow of work in a timely and efficient way, this role is critical to the support of the team in the delivery of FM services to Molson Coors.


- To act as the CAFM administrator, ensuring all planned and reactive tasks are recorded via the Planon system. This includes the closing down of tasks and ensuring feedback to customers accordingly
- Support the team with ensuring all additional and subcontracted works have risk and method Statements (RAMS) produced and reviewed prior to submission for approval
- Maintaining a database for ensuring relevant insurances, training certification is current for contract specific subcontractors
- Tracking the completion of Toolbox Talks, SPV's for the contract and ensuring these are uploaded to the intranet in a timely manner
- Creation and maintenance of site manuals, updating electronic copies of RAMS as directed
- Annually Renew and Request all Contract PO's and maintain records for accurate invoicing
- Ensure that all variable/additional spends are captured and charged to the customer in a timely manner
- To act as invoice approver and ensure that supplier invoices are managed in line with contract expectations
- Review and manage WIP and debt in line with company finance policy
- Assist with preparation of periodic management reports to Customer to review KPI performance and ensure resolution of any site specific issues/projects
-Updating Planon and supporting contract team with maintenance of asset records and spreadsheets
- Carry out filing and archiving regularly.
- Ad-hoc tasks and projects as requested i.e. Preparing quotations Typing, correspondence and letters etc
.-Continually review processes and procedures to ensure efficient and effective contract administration
- Liaison and Co-operation across business units to ensure extra works are administered accurately and with the correct back up information in order to provide this to the customer
- Enter site teams planned and unplanned absences in SAP
- Act as the coordinator for visitors and contractors to site
- Administer the ordering of uniforms, materials and consumables for the contract
- Work across various Molson Coors sites in local area to support the wider Burton CampusQualifications or Required Experience:
- Computer skills and excellent working knowledge of Microsoft Packages
- Good working knowledge of SAP and CAFM (Planon) system or similar workflow packages
- Good Telephone manner & communication skills
- Excellent customer service skills
- Admin experience and ability to collate data for management reporting
