Job Title: Facilities Assistant

Division: Facilities Management

Location: Astral House (Watford)

Max Annual Salary: £25,000

Summary of Role:

The role of the Facilities Management Assistant (FMA) is to support the daily operation of Astral House Head Office building in Watford and a small annex office at 1 Ludgate Square, London, St Paul's. The role will help ensure that the offices are compliant, safe and well-maintained and secure site for all users and visitors.

Provide a site-based response to key contractual requirements, to ensure a timely service to the offices, staff, visitors, external users, by responding to reactive and planned activities, helping to ensure statutory compliance, client expectations are met with costs effective/commercial efficiencies.

The post holder will have a broad range of experience and high a standard in practical skills. They will have proven operational knowledge and experience of Facilities Management, Service Delivery Plans and experience within Commercial Buildings. All duties will be undertaken compliant to current Health and Safety Regulations & VINCI Facilities' own Minimum Safety Standards.


Tasks & Responsibilities:
Regular tasks include but are not limited to the following

  • Security - general building security, key holder responsibilities, car park management with ad-hoc out of hours' emergency response and support.
  • Reactive Maintenance Activities - Responses aligned to project SLA. First response make-safe and full repair close out of tasks where possible. updating systems, sub-contractor monitoring, proactive checking of the premises to identify and complete any basic maintenance activities and liaising with colleagues to ensure an extension of time request has been submitted.
  • Planned Preventative Maintenance (PPM) - Communicate with colleagues to arrange sub-contractor attendance, sub-contractor monitoring, work with colleagues to ensure all equipment/materials necessary to complete any remedial works are ordered in good time. Undertake simple system checks including Water Hygiene monitoring, Fire Detection Systems and Emergency Lighting etc.
  • HSEQ - compliance with all Minimum Standards, policies and procedures. Reporting of any unsafe activities, close call and positive interventions. Assistance in fire drills and emergency evacuations; record keeping and documentation. Proactive management and monitoring of sub-contractors and their associated paperwork.
  • Grounds Maintenance - Supplementary litter picking and emptying bins, leaf clearance, snow clearance and gritting during adverse weather conditions, external light checks and reporting of any other issues to the ground maintenance team.
  • Cleaning - Undertake emergency cleaning after spillages, equipment faults or other scenarios which create a risk on the premises. Support for dedicated cleaning staff when required e.g. during absence or illness. Check the building, advising the site cleaning teams of any action required when unable to resolve directly. Reactive internal glazing cleaning on a reach and wash basis.
  • Porterage - Receiving and delivering of goods and supplies; furniture relocation within offices; assembly areas and post operation clear up. Setting up rooms and areas for functions and meetings and clearing away afterwards. Removal of damaged furniture, fittings and equipment and reporting to the Manager of any such events, whilst uploading details and therefore capturing any spontaneous jobs onto the CAFM system.
  • Administration - Manage day to day reactive work orders where you will acknowledge attendance, investigations, updating and closures of work where appropriate; maintenance of records, including those within daily/weekly site check lists, inspection records, logs etc. Assist so far is reasonably practicable; in the preparation for internal / external audits.
  • Reception - Supporting on ad-hoc basis; delivery the following duties: taking calls, dealing with visitor and staff requests, fire and evacuation procedure, Pronester Meeting Room Booking system, vehicle key holding and any other related Receptionist duties
  • Post and Stationary - Support the management in delivering all aspects relating to incoming and outgoing post and packages. To include using postal services such as the Franking Machine and Parcel Booking Systems and any other related postal duties as well as stationary ordering for all departments and stock management of stationary goods and any other related stationary duties

The above responsibilities are neither exclusive nor exhaustive. The post holder may be required to undertake other duties without changing the general character of their role.

This role reports primarily to the Facilities Manager on site.

CSCS:

Required: Duties will include, but not be confined to; first response to reactive work orders raised, followed by closure of general work orders which do not requiring specialist competencies.


Qualifications:

Desired: NEBOSH, IOSH, Plumbing and/or Electrically Qualified Required: GCSE pass grade or equivalent in English and Maths, SSSTS, good knowledge of Health and Safety

Relevant Experience:

Facilities Manager and Team, in the delivery of Facilities Management Services to this Head Office Project. Must have 3 to 5 years of working experience within the Facilities environment.
