Helpdesk Administrator - Urgent Requirement - Derby - £24,000 - Permanent - Facilities Management

Summary of Role:

Reporting into the Helpdesk Team Leader - working as part of a project helpdesk and administration team that is committed to excellence and offering maximum flexibility in supporting the operational and management team the full spectrum of helpdesk and administrative functions

Tasks & Responsibilities:

Overall purpose and key function of this role:

  • Undertake a variety of tasks as directed / coordinated by the management team and Helpdesk Team Leader.
  • Task to include:

o Filing and scanning of certs and all work's and services related compliance and general documentation

o Checking and where appropriate amending labour times, materials etc. on work orders

o Process station and office access requests and provide Risk Assessments and method statements to all operatives when required

o Updating the Absence planner, working in conjunction with managers ensure engineer availability is accurate within the Concerto system

o Timesheets - overtime and expenses processing and checking where appropriate

o COINS plant booking - Training will be provided

o Production of Concerto reports

o Liaising with Travel Agent to book hotel and travel arrangements in advance, ensuring the most cost-effective solution in line with travel policy

o Ordering PPE, Uniform & Equipment and all other items necessary to ensure the smooth running of the project office and operations

o Updating various trackers for managers, i.e. registers, Store Audit

o Filing and scanning of operative information

o Labour & Material Audit Checks for commercial team. Training will be provided

  • Work collaboratively and flexibly with colleagues to provide the most efficient administration support function
  • Respect the importance of health and safety and contribute to the divisional health and safety targets


Grade D or above in English & Maths

Relevant Experience:

The helpdesk services a large network of stations and office sites.

Knowledge of the rails sector is desirable, but not essential.

Knowledge of CAFM system/s, be IT literate with experience and knowledge of Microsoft packages, i.e. Word, Excel and PowerPoint.
